(Hired) VA Wanted: Admin, Organization, Marketing

Hi!

I’m Amanda. I’m a middle-grade author. I write funny mysteries and adventure fiction for Christian homeschoolers.

I’m also a homeschool mom to 1st grade twins; a co-op leader; and mom supporting neurodiverse needs in my home. (Because evidently God thought my life wasn’t interesting enough!)

Essentially, I’m losing my mind. I need help. 😅

What It’s Like Working For Me

  • I’m highly flexible, relational, and kind. I care about you as a person.

  • I’m less interested in speed, very interested in your ability to do a job well and independently.

  • I communicate via WhatsApp, Trello, Zoom or Google Meet, and email if I must.

    • I’m slow to respond to email. You need to ping me to break through the mom chaos.

  • I’m an active, high-achieving, go-getting, highly organized person in my family life and homeschool life. But my business gets the fumes of my executive functioning skills and energy. I’m looking for someone to be my partial work brain.

Compensation + Time

  • $20/hour, open to negotiation based on worthy experience

  • Up to 5 hours per month now

  • Ideally looking for a long-term relationship that will grow as my kids age and I can spend more time on my business

VA Tasks

I’d like someone who can handle multiple (not all) items below, with the ability to learn more as needed:

Admin

  • Email support: sorting, drafting replies, inbox management

  • Filling out metadata fields on distribution platforms

  • Performing file operations, like zipping/unzipping docs for delivery, exporting spreadsheets into CSV, exporting audio or media files from apps like Canva or Riverside, converting files using free online converters (example: .m4a to .mp3)

  • Keeping simple systems organized (docs, lists, spreadsheets)

  • Compiling royalty reports to make end-of-year snapshot

Marketing Outreach

  • Pitching podcasts and tracking follow-ups in an organized way. Will teach you if you haven’t taken Thomas’ podcast pitching course yet.

  • Contacting homeschooler influencers on YouTube or social media

Publishing Support

  • Uploading and organizing book assets on distribution platforms (ex: KDP, Findaway, etc.)

  • Familiarity with BookFunnel (or willingness to learn quickly)

Research Support

  • Finding local selling events near me and summarizing key details

  • Locating reliable sources and compiling organized notes/links

  • Using AI tools (ChatGPT or similar) to get better results faster

  • Placing library holds on books for me as directed

Tools I Use and Might Ask You to Use/Learn

  • Canva

  • Flodesk

    • I am actively learning this one as I switch away from Mailerlite, expertise from you not required

  • Bookfunnel

  • Google Drive, especially Sheets

  • WordPress and Divi.

    • Basic familiarity (i.e. can make new post/page, can upload an image) is good enough

  • Trello

  • Google Calendar

  • Zoom or Google Meet

  • Riverside

VA Candidate Must-Haves

  • Accepts digital payment. No snail mail checks, please.

  • Tech-comfortable

    • No actual coding knowledge required

  • Able to find your own training for a task if necessary (example: Google how to do something, find instructions on YouTube)

  • Self-directed

    • Can start with instructions I give you, then problem-solve obstacles as they arise.

    • Can reach out when necessary but the more independence, the better.

  • Organized communicator who can track tasks and follow-ups

  • Comfortable using AI tools as part of your workflow

  • Excited by the challenge of helping bring order to the chaotic maelstrom that is my current season of life

  • Able to track your hours/tasks in organized way (spreadsheet, notes, etc.)

Not a Good Fit If…

  • You’re not comfortable with technology

  • You oppose using AI tools for admin work

    • (Your personal feelings on their use in a creative capacity is your business)

  • You feel uncomfortable pinging me when I don’t respond

  • You dislike a working style that is both professional but also relational and personable

  • You don’t like receiving the basic vision for a project and then using your creativity, judgement, and discretion to make it happen

Perfect Candidate

  • Female, preferred; Christian female, strongly preferred

  • Go-getter, “love to figure things out” attitude

  • Both creative and organized

  • Not afraid of a challenge

  • A heart for kids

  • Homeschooler or familiar with homeschool community

  • Familiar with indie publishing

    • I don’t care about your sales numbers or number of books published. I just want to know that you have a foundational knowledge of the publishing process.

  • Patreon membership to Novel Marketing is highly preferred for access to AI tools + podcast directory
